DRAFT — SUBJECT TO LEGAL REVIEW
← Back to HomeCookie Notice
Effective Date: November 16, 2025
1) Overview
We use cookies and similar technologies to ensure secure access, operate core features, improve reliability and performance, and—if you consent—understand how the Service is used. Some cookies are essential and are always active; others are optional and will be set only with your consent.
This Notice explains what we set, why, how long we keep it, and how you can manage your choices. For broader privacy information, see our Privacy & Data Policy.
We do not sell personal information and do not share personal information for cross-context behavioral advertising. We honor Global Privacy Control (GPC) signals by defaulting optional cookies off when a valid GPC signal is detected.
2) How Consent Works
- On first visit, only essential cookies load.
- If you click Accept All Cookies, we set optional analytics cookies.
- If you click Manage Preferences, you can toggle categories and Save.
- You can withdraw or change consent at any time in Cookie Settings (banner/preferences panel).
- Your choice is stored in a small preference cookie so we can remember it. If you delete cookies or use a different browser/device, you’ll need to set preferences again.
- GPC: When your browser sends a valid GPC signal, we treat that as an opt-out for optional cookies unless/until you explicitly opt in via Cookie Settings.
- DNT: We do not act on Do Not Track headers because no common standard exists; we act on GPC instead.
3) Cookie Categories & Inventory
A. Strictly Necessary (Essential)
Always active; no consent required.
| Name | Who Sets It | Purpose | Essential? | Retention | Legal Basis |
|---|---|---|---|---|---|
| sid (Session ID) | NeptuneOps (1st-party) | Maintains secure sign-in/session continuity and CSRF protections. | Yes | ~30 days | Legitimate interests (security/authentication) |
| did (Device ID) | NeptuneOps (1st-party) | Recognizes device/browser for account protection and “sign out device.” | Yes | ~400 days | Legitimate interests (security/fraud prevention) |
| cookie_prefs | NeptuneOps (1st-party) | Remembers your cookie choices so we don’t prompt every visit. | Yes | up to 12 months | Required to honor consent/ePrivacy “strictly necessary” |
These cookies are disclosed for transparency. Blocking them may prevent the Service from functioning (e.g., sign-in, session security).
B. Analytics & Performance (Optional)
Set only with your consent. Help us understand traffic, usage patterns, and performance.
| Name (examples) | Who Sets It | Purpose | Essential? | Retention | Legal Basis |
|---|---|---|---|---|---|
| Future analytics cookies | TBD (3rd-party) | If enabled, would track aggregate usage and performance only. | No | ~13–26 months* | Consent (GDPR Art. 6(1)(a)) |
*Exact lifetimes and names will be disclosed in the banner/settings if analytics cookies are activated. Optional cookies are not set until you opt in.
C. Potential Future Cookies (Not currently active)
- Preference/UX cookies: store UI choices (theme, layout, language). Typically functional.
- Performance/Telemetry: reliability and error diagnostics (e.g., Sentry, Datadog).
We do not use advertising/targeting cookies. If this changes, we will update this Notice and present appropriate opt-out/opt-in choices.
4) Managing Cookies & Your Rights
- Use Cookie Settings (banner/preferences panel) to accept, reject, or adjust categories at any time.
- Browser controls allow you to delete cookies or block certain types.
- Preferences are stored per browser/device; set them wherever you use the Service.
- To exercise data rights (access, correction, deletion), email catarina@neptuneops.com with your full name, phone number, and mailing address for verification.
- We do not sell personal information or share it for cross-context behavioral advertising.
5) Retention & Consent Records
- Essential cookies: retained only as long as needed (sid ~30 days; did ~400 days).
- Preference cookie (cookie_prefs): up to 12 months.
- Analytics cookies (if enabled): typically 13–26 months.
- Consent audit logs: limited metadata stored up to 24 months to demonstrate compliance.
6) Similar Technologies
We may use localStorage/sessionStorage, SDKs, or pixels for the same purposes described above (e.g., to remember settings or measure performance). These do not expand the categories of data we collect without your consent.
7) Changes to this Notice
We may update this Notice from time to time. The Effective Date above reflects the latest revision. If changes are material, we may provide additional in-product or website notice.
